Sales Inbox
An AI-prioritized inbox that surfaces the most important emails, tasks, and follow-ups for your day.
Overview
The Sales Inbox is your daily command center for managing communications, tasks, and follow-ups. Unlike a traditional email inbox that displays messages chronologically, SalesOS uses AI to analyze every incoming item and rank it by revenue impact, urgency, and engagement signals. The result is a prioritized queue that ensures you spend your limited selling hours on the activities most likely to move deals forward.
Sales Inbox aggregates signals from email, calendar events, task assignments, sequence steps, and deal activity into a single unified view. Rather than switching between tabs and tools, reps see exactly what needs attention right now, supported by contextual briefings that provide the background needed to respond effectively.
AI Prioritization Engine
How Priority Scoring Works
Every item that enters your Sales Inbox receives a priority score between 0 and 100. The AI engine evaluates multiple dimensions to calculate this score:
| Signal Category | Weight | Examples |
|---|---|---|
| Deal Value | High | Items tied to large-value opportunities rank higher |
| Deal Stage | High | Late-stage deals (Negotiation, Proposal) get priority over early-stage |
| Urgency Indicators | High | Keywords like "urgent," "deadline," "today," close dates within 7 days |
| Engagement Recency | Medium | Contacts who recently opened emails or visited pricing pages |
| Relationship Strength | Medium | Key decision-makers and champions rank above unknown contacts |
| Response Time | Medium | Items waiting longer without response get escalated |
| Sequence Position | Low | Active sequence steps that are due or overdue |
| Historical Patterns | Low | Contacts with high past conversion rates surface earlier |
Priority Tiers
Items are grouped into three tiers for quick scanning:
- Critical (Score 80-100) -- Items requiring immediate action. Typically late-stage deal responses, executive-level communications, or time-sensitive requests from high-value accounts.
- Important (Score 50-79) -- Items that should be addressed today. Mid-stage deal communications, follow-ups on active proposals, and engagement from target accounts.
- Standard (Score 0-49) -- Items that can wait or be batched. Early-stage outreach responses, internal notifications, and low-priority administrative tasks.
Engagement Signals
The prioritization engine monitors real-time engagement signals to boost relevance:
- Email opens and click-throughs from tracked messages
- Website visits to pricing, demo, or product pages
- Document views on shared proposals or contracts
- Social media interactions with company content
- Meeting acceptances or reschedules
- Buyer intent signals from third-party data providers
Inbox Layout
Priority Queue
The primary view displays your prioritized items in a single scrollable list. Each item shows:
- Priority tier indicator (color-coded dot)
- Contact name and account
- Subject or task title
- Preview snippet (first 2 lines)
- Associated deal name and stage
- Time since received
- Action buttons (Reply, Snooze, Complete, Dismiss)
Items can be expanded inline to view full content without leaving the queue. Replying opens a compose panel on the right side, pre-populated with AI-suggested responses.
Daily Briefing
At the top of your inbox each morning, SalesOS generates a personalized briefing that summarizes:
- Number of critical items awaiting response
- Deals with close dates this week that need attention
- Overdue follow-ups and their aging
- New engagement from target accounts overnight
- Sequence steps due today
- Calendar conflicts or preparation needed for upcoming meetings
The briefing is generated fresh each day at your configured start-of-day time and updates dynamically as you clear items.
Stats Panel
A collapsible stats panel on the right shows real-time metrics:
| Metric | Description |
|---|---|
| Response Time (Avg) | Your average time to first response today |
| Items Cleared | Number of items completed or responded to |
| Critical Remaining | Outstanding critical-priority items |
| Engagement Score | Aggregate engagement from your contacts today |
| Sequence Health | Steps on track vs. overdue |
Email Actions
Quick Actions
Every email item supports rapid actions without opening the full message:
- Reply -- Opens compose with AI-drafted response based on context
- Forward -- Forward to a colleague with optional internal note
- Snooze -- Temporarily remove from queue; resurfaces at chosen time
- Archive -- Remove from inbox without deleting
- Log to CRM -- Manually associate with a different record if auto-matching missed
- Create Task -- Convert the email into a follow-up task with due date
AI-Suggested Responses
When you click Reply, the AI generates a draft response that considers:
- The full email thread history
- The associated deal stage and recent activity
- Your communication style and tone preferences
- Any pending action items or commitments
- Relevant product information or pricing
You can accept the draft as-is, edit it, or regenerate with different parameters (more formal, shorter, address specific points).
Task Integration
Unified Task View
Tasks from multiple sources appear alongside emails in the priority queue:
- Manual tasks you created
- Tasks assigned by managers or colleagues
- Automated tasks from workflow rules
- Sequence steps (calls, LinkedIn touches, custom steps)
- Follow-up reminders from previous interactions
Task Completion
Tasks can be completed directly from the inbox with outcome logging:
- Mark as complete with optional notes
- Reschedule to a future date
- Convert to a different activity type (e.g., turn a call task into an email)
- Delegate to another team member
- Mark as no longer relevant (with reason)
Filtering and Search
Filter Options
Narrow your inbox view using these filters:
| Filter | Options |
|---|---|
| Priority Tier | Critical, Important, Standard |
| Item Type | Email, Task, Follow-up, Sequence Step, Notification |
| Account | Specific account or account segment |
| Deal Stage | Any pipeline stage |
| Age | Today, Last 24h, Last 7 days, Older |
| Status | Unread, Read, Snoozed, Flagged |
| Assigned By | Self-generated, Manager, Automation, Sequence |
Saved Views
Create and save custom filter combinations for quick access:
- "My Hot Deals" -- Critical priority + Negotiation/Proposal stage
- "Overdue Follow-ups" -- Follow-up type + Age > 3 days
- "Enterprise Accounts" -- Filtered to enterprise segment accounts
- "Today's Sequence Steps" -- Sequence steps due today
Integration with Sequences
The Sales Inbox serves as the execution layer for sequence activities:
- Sequence email steps appear as prioritized items when they become due
- One-click execution sends the sequence email and advances the step
- If a contact replies to a sequence email, the reply appears as a high-priority item with full sequence context
- Pausing or removing a contact from a sequence can be done directly from the inbox
- Overdue sequence steps escalate in priority over time
Inbox Analytics
Personal Performance Metrics
Track your inbox productivity over time:
- Average Response Time -- Trend of how quickly you respond to inbound communications
- Items Processed per Day -- Volume of items cleared from the inbox
- Priority Adherence -- Percentage of critical items addressed before lower-priority items
- Follow-up Rate -- How often promised follow-ups are completed on time
- Email Sentiment Trend -- AI-detected sentiment of responses you receive
Manager Dashboards
Managers can view aggregated inbox metrics across their team:
- Team response time distribution
- Queue depth by rep (who is falling behind)
- Critical items aging beyond thresholds
- Sequence execution rates
- Engagement correlation with inbox responsiveness

Best Practices
-
Start your day with the briefing. Spend 2-3 minutes reviewing the daily briefing before diving into individual items. This provides context and helps you plan your response strategy for the day.
-
Work top-down through critical items first. The AI has already done the analysis -- trust the prioritization and address critical items before moving to lower tiers. This ensures your best energy goes to the highest-impact activities.
-
Use snooze strategically. If an item requires information you do not yet have, snooze it until the expected arrival time rather than letting it clutter your queue. Snoozed items automatically re-prioritize when they return.
-
Batch standard-priority items. Set aside a specific time block (e.g., 30 minutes after lunch) to process all standard-tier items in bulk rather than context-switching throughout the day.
-
Review inbox analytics weekly. Check your response time trends and priority adherence. Reps who maintain sub-4-hour response times on critical items see measurably higher win rates.
-
Configure VIP contacts accurately. Adding key decision-makers and champions to your VIP list ensures their messages always surface immediately, regardless of other scoring factors.
-
Keep your inbox at zero daily. Aim to process (respond, snooze, archive, or delegate) every item each day. A growing backlog degrades the AI scoring accuracy because older items begin competing with fresh signals.
-
Leverage AI responses for speed. Even if you edit AI-drafted replies, starting from a contextual draft saves 2-3 minutes per response. Over 30+ daily emails, this compounds into significant time savings.
-
Connect feedback loops. When the AI mis-prioritizes an item, use the feedback button to correct it. The model learns from your corrections and improves personalization over time.
-
Align inbox with pipeline reviews. Before weekly pipeline meetings, filter your inbox to items associated with deals under review. This ensures you have addressed all outstanding communications before discussing deal status with your manager.
